PURPOSE:

To consider approval of a contract between DeKalb County Government and the Dekalb County School District for use of the DeKalb County School District buses and employees for the 2026, 2027 and 2028 Summer Camp seasons.

 

NEED/IMPACT:

The Department of Recreation, Parks and Cultural Affairs is requesting approval of a contract between DeKalb County Government and the DeKalb County School District for the use of school district’s buses and employees for transportation of participants in the Summer Camp program during the 2026, 2027 and 2028 season.  The contract terms for the three years are as such:

                             June 1, 2026 to July 31, 2026

                             June 7, 2027 to July 30, 2027 and

                             June 5, 2028 to July 28, 2028

The contract will be automatically renewed for two (2) one-year terms unless either party indicates a desire to modify or terminate the contract.  At the end of each term, the School District will charge the DeKalb County Government for the drivers’ salaries, mileage, and reasonable depreciation.  The DeKalb County Government will supply all fuel for the buses provided by the School District.  Full payment to the School District will be due at the end of the summer program and based on the description outlined in the invoice received by RPCA.  The contract amount shall not exceed $150,000.00, unless changed by written Change Order in accordance with the terms of the contract.

The buses will be used to transport children enrolled in the DeKalb County Camps for swimming lessons, open swim, various field trips and end of camp season culminating events. The School District shall provide up to sixteen (16) 72 passenger buses (15 regular and 1 with lift capacity for special needs campers), contingent upon driver availability.  Travel should remain in the metro Atlanta area, not to exceed 40 miles.  Meal stops will be prohibited.

FISCAL IMPACT:

The DeKalb County Government will incur an expense not to exceed $150,000.00 for the three-year contract for the summer camp seasons of 2026, 2027 and 2028.

 

RECOMMENDATION:

Recommended Action

To approve the contract between DeKalb County Government and the DeKalb County School District for transportation services rendered during RPCA’s summer camp program and authorize the Chief Executive Officer to execute all necessary documents for implementation of the contract agreement.
